Verify the counterparty before evaluating the offer

Record the legal business name, operating contact and commercial document details used for the transaction. If the payment beneficiary, invoice issuer or contracting party differs, request a documented explanation before accepting the terms.

A catalog can make product discovery faster, but it should not replace counterparty checks. Keep supplier identity and product evidence as separate review tracks.

Tie every product claim to one exact identity

Use an exact SKU, barcode where available, brand, origin, variant and pack format. Review samples, images, specifications and test evidence against that identity rather than assuming one document covers visually similar goods.

A sample shows the item reviewed at that time. It does not by itself prove current inventory, repeated bulk consistency or destination eligibility.

  • Preserve the SKU from catalog through order.
  • Record which fields came from the supplier source.
  • Keep missing specification or compliance evidence visible.
  • Require changes and exceptions to appear in the quote.

Separate stock, capacity and commercial commitment

Warehouse availability, inbound supply and production capacity are different evidence states. Ask which quantity is physically recorded, which quantity can be allocated and when that allocation becomes binding.
