How a Wholesale RFQ Becomes a Confirmed Order
Follow the China wholesale RFQ process from product selection and shipment facts to quotation, acceptance, allocation and fulfillment.
Reviewed and updated 2026-07-28What buyers should remember
- An RFQ is a request, not a completed order.
- Each line should identify an exact SKU and valid quantity.
- The quote records price, freight scope, validity and open conditions.
- Inventory allocation begins after commercial confirmation.
RFQ-to-order workflow
| Stage | Required input | Controlled output |
|---|---|---|
| Buying list | SKU and valid quantity | Product and carton calculation |
| RFQ | Destination, shipping preference, Incoterm and notes | Reviewable purchase request |
| Quote | Confirmed stock, commercial and freight facts | Versioned offer with validity |
| Acceptance | Buyer approval of the quote | Order and allocation instruction |
| Fulfillment | Packing and shipment events | Traceable order status |
Build a purchase request that can be quoted
Select exact product records rather than describing a broad category. Set quantities that follow the MOQ and increment, then review product subtotal, cartons, weight and volume.
Add the destination country, city or postal detail, shipping preference, requested Incoterm and any market-specific evidence needed.
Review the commercial quote as a versioned document
The quote should preserve the SKU, quantity and unit-price snapshot used for the decision. It should also state freight scope, validity, destination assumptions and unresolved conditions.
- Confirm product and variant identity.
- Confirm stock allocation timing.
- Compare product subtotal and freight separately.
- Read validity, Incoterm and destination conditions.
Move accepted terms into controlled fulfillment
After acceptance, the platform creates the order record and operations can allocate stock, prepare packing and export documents, record shipment milestones and release tracking information.
Buyer questions, answered directly
Is submitting an RFQ a purchase commitment?
No. It requests a commercial review. The buyer can accept or reject the resulting quote.
Why is the catalog price not the final landed price?
Catalog pricing excludes route-specific freight, duties, taxes and destination services unless the formal quote states otherwise.
When is inventory reserved?
Reservation follows the platform’s commercial confirmation and allocation process; adding an item to a buying list does not reserve stock.
